How to upload documents on the Android FireCloud365 App?

Step 1: Upload Headings Instructions:


Adding a New Document on Mobile App:

  1. Click "Upload Document".
  2. Select Site.
  3. Select "Take a Photo".
  4. Take as many images as needed.
  5. Click "Submit".
  6. Fill in all required information:
    • Name
    • General Certificate
    • Fire Related Cert (if needed)iry Date
  7. Click "Submit".
  8. The document added will appear at the bottom of the screen.
  9. The document will be saved under the "Documents" heading in the web portal.

Step 2: Viewing Uploaded Documents:

  1. Under the "Uploads" heading in the left-hand column:
    • Click "Documents".
  2. You will see the following headings:
    • Name
    • Category
    • Fire Related Cert
    • Expiry Date
    • Upload Date
    • User
    • Site
    • (All the above headings can be filtered)

Traffic Light Colors Defining the Expiry Dates:

  • Red: Expired
  • Yellow: Expiring within 14 days
  • Green: Expiring after 30 days

Step 3: Downloading Documents:

  • Download documents individually or select multiple documents at once and download them into a zipped folder.

Step 4: Adding Users to Receive the Weekly Expiring Documents Report:

  1. Go to "Manage Site".
  2. Click "Edit" on the site.
  3. Go to the "Personnel" heading.
  4. Enable the "Weekly Expiring Document Report" box for each user.
  5. Click "Edit Site".

The weekly email will be sent out every Friday at 07:30.
