Step 1: Upload Headings Instructions:
Adding a New Document on Mobile App:
- Click "Upload Document".
- Select Site.
- Select "Take a Photo".
- Take as many images as needed.
- Click "Submit".
- Fill in all required information:
- Name
- General Certificate
- Fire Related Cert (if needed)iry Date
- Click "Submit".
- The document added will appear at the bottom of the screen.
- The document will be saved under the "Documents" heading in the web portal.
Step 2: Viewing Uploaded Documents:
- Under the "Uploads" heading in the left-hand column:
- You will see the following headings:
- Name
- Category
- Fire Related Cert
- Expiry Date
- Upload Date
- User
- Site
- (All the above headings can be filtered)
Traffic Light Colors Defining the Expiry Dates:
- Red: Expired
- Yellow: Expiring within 14 days
- Green: Expiring after 30 days
Step 3: Downloading Documents:
- Download documents individually or select multiple documents at once and download them into a zipped folder.
Step 4: Adding Users to Receive the Weekly Expiring Documents Report:
- Go to "Manage Site".
- Click "Edit" on the site.
- Go to the "Personnel" heading.
- Enable the "Weekly Expiring Document Report" box for each user.
- Click "Edit Site".
The weekly email will be sent out every Friday at 07:30.
